Why stress yourself by doing all of the work. Let your friends get in on the fun. We’ll call them a celebration committee. Whether a formal or informal group this is why you need one and how to form it.
Define the Purpose and Type of Celebration
It could be as small as 2 or 3 people doing a round for each of your birthdays. In this features, you would take turns helping to celebrate when each birthday comes around. It could be all of the cousins coming together to organize a family reunion or all of the grandkids coming together to plan a party for their grandparents. Make sure each person is clear on who all is involved and what type of celebration they’re involved with. Clear communication is needed for success.
Choose Committee Members Wisely
Now that you know who all is involved, ensure that these members on the committee all show up in whatever fashion the group expects. If someone often misses meetings, are too busy to communicate or finds a way to disagree with everything, this may not be the right person for this group. Give this person a non committed role or find ways to cut ties immediately. Planning a celebration can be stressful, but it should also be fun. If you can’t agree to having fun within the committee, there’s no need to have one.

This can be done in person or virtually, depending on everyone’s availability, but this step in the process shouldn’t be difficult. The different roles doesn’t mean that others can’t contribute, it just gives a point person for a specific roles. You can bee the budget manager with ideas about the entertainment. Just let the entertainment director know. Also, you celebration may require more or less roles. The committee will determine this in planning. And there’s no reason why some roles can’t double up.

Discuss and establish a budget for the celebration early in the planning process. This will help your committee make informed decisions about food, decorations, entertainment, and any other expenses. Be transparent about costs and contributions, and encourage everyone to share ideas that fit within the budget. Consider pooling resources for shared expenses, as this can lighten the financial load for everyone. And be realistic about your budget. It’s a good idea to start with want you want for your celebration, get actual numbers for all of those items (which usually comes in higher than expected), then scale down as needed. It’s unfair for one area to blow the entire budget, unless of course, that’s the direction the committee agrees to go in.

Regular check-ins will help ensure that everyone is on the same page and can address any concerns or changes that arise. Encourage committee members to share their progress and celebrate milestones to keep morale high. It doesn’t make sense to find out after 3 weeks that the decorations chair still doesn’t know how much that extravagant balloon wall costs. Mishaps will derail planning.
